RULES FOR THE 2008 ANNUAL AUCTION


1. The auction begins at 6:30pm. In order for us to start on time, PLEASE come early especially if you are donating items, and give yourself time to look over the silent auction tables. If the item being donated is too big to bring into the auction site, take a color photo of the item for display.

2. All donations are given freely to PPF, and all sales are final.  We do NOT have provisions for credit cards, please plan to pay by cash or check.

3. Donated items do not have to be fishing related; some of our most interesting and fun items have had  nothing to do with fishing.

4. For those members who cannot make the auction, but would like to donate items please contact Leo Dorsch via email poleonapole@q.com or home phone, 477-6911 to make arrangements to accept the items in advance.

5. If you are donating items, please price the items in advance. You are the best judge of the worth of an item. The guidelines we have used before are: if the item is new price it at 50% of its original value, if the item is used price it at 25% of acquired value. The condition and uniqueness of any item will also help to determine a fair beginning price. After that the auction process will take over.

6. When you arrive for the auction your first stop will be at the Treasurers table to pick up your individual Bid Card.  This number will allow us to track winning bids, record them, and provide a final tally so when you are ready to go you can pay one time. Yes, your check or cash will be accepted, we cannot accept credit cards.

7. If you are donating sale items, a Board member will take your items, and distribute them as either a Silent Auction item or Live Auction item. If you would like recognition for your donation, please fill out a form and have it attached to the item.  Also please come early with your donations, our pre-auction preparation is vital to the overall conduct of having a successful event, and you can help by getting your donations to us early.

8. The Board has put a lot of planning into this auction, and made some changes to the auction format.   We hope this information will make this auction experience fun and easy for you. Thanks in advance for your support to the PPF auction and the Club!  REMEMBER, SUPPORT OUR SPONSORS WHENEVER YOU CAN!  THEY HELP KEEP THE CLUB GOING AND GROWING.

SILENT AUCTION FORMAT


Here is how the silent auction will work.  When you bring your donations to the TREA, several of the Board members will greet you and begin sorting the items out.  Items selected for the silent auction will be assigned a bidding sheet and the items displayed on two tables designated for the silent auction.  It would really assist us if you could bring your items early, between 5:00 and 6:00pm. 

Beginning at 6:30 you can begin examining the silent auction items and begin placing your bids on the bidding sheet with each item.  As we have done with the active auction, we limit the silent bid increases to a minimum bid of $1.00.  Additionally, some items may be assigned a minimum bid price as a start, so check out the bidding sheet closely. 

Closing time for the silent auction tables will be determined on the day of the auction.  As each table closes we will take a short break from the active bidding to announce who the top bidders were for items on each table.  At this time, you can recover your items, and the Treasurer will record the Bid number and winning bid price. 

You can bid more than once, if an item is sought after by multiple members, it should be fun to see the strategy they use to get the final bid in before the window closes. 

Remember, we will also begin the live auction at 6:30, so it pays to come early on March 5th and spend some time looking over the silent auction tables. 

You will also need to pay attention to the live auction so you don’t miss a item you really want.  This process went really smooth last year.
